The foremost way of making archives on documents until recently was to use film. Using special cameras, pictures of documents as large as broadsheet newspapers are taken. The resulting images on film could be as small as postage stamps. The most widely used film formats for this purpose were the microfilm and microfiche. With the way computerization is going right now, film has given way to computers as the main archiving tool. But there are still millions of film based archives out there. To leverage computer technology on these archives, a way must be found to Scan Microfiche to computer.
The need for archiving technologies is still the same now as it was in the days of film. Storing documents in their original sizes is very expensive. So film-based technology progressed and was already in wide use in the 1930s. In fact, the Library of Congress was well on the way in capturing more than 3 million pages using film.
Computerization only emphasized the shortcomings of film-based archives. It takes a special reader to view the contents of a microfiche but the reader is not an off the shelf product and is not widely available. Being images on film makes it very hard to do a text search on the contents of the archive.
The reason why millions of microfiche archives need to be scanned is that they need to be compatible with modern computerized archives. Computer files can be copied endlessly without losing information. The same cannot be done with film.
The equipment to Scan Microfiche to computer are based on well-established technologies. The sheer amount of film archives makes it necessary to manufacture a specially built scanner. They incorporate automation so that human intervention is kept to a minimum. There is nothing that prevents anyone from using over the counter scanners because they are perfectly capable of capturing microfiche images. However it becomes very tedious to do it on non-specialized equipment.
By using the grid layout of microfiches, the automated scanner is able to capture in high resolution individual images. These are saved as computer files. If the customer is satisfied with this step alone then the next step is to save them on portable media. To make the archived data searchable then a second step is required which is OCR.
When images undergo optical character recognition or OCR, text-like images are interpreted by software and are outputted as live editable text like the ones you make with word processors. The OCR stage may need active human interaction because there will be a lot of misinterpreted text. The quality of the output depends so much on the image quality of the film archive.
When the process of scanning microfiches is over the output is saved in portable storage like CDs or DVDs. Some experts claim that film has a more superior shelf live than optical disks and is therefore a better archiving medium. But digital data can be copied endlessly without loss in fidelity so this implies that data in DVDs and CDs can live forever. There is no question that digital archive is superior to archives in film.
